Guidelines for event submission

Be sure to follow all the guidelines below to avoid delays in getting your event posted to the website and The Scuttlebutt.

Please send vetted and corrected flyers and emails ONLY. We can't keep up with multiple emails for the same events, so double-check your work before sending.

Event Form Listing Guidelines and Help​

On the event listing form:

Here is a visual of where things go. Below is a detailed explanation.

- The Event Flyer if applicable is usually a pdf, but any photo format acceptable: (jpg, png, gif). Word documents also (.docx). Note: You no longer need to include the source text for a flyer as it is entered into the event listing form.

- Complete dinner information if there is food involved. Meals types (eg fish or ribs) and PRICE for each, even if pay at the bar.

- Ticketing - you must create at least one ticket for an event! ​

Our reservation system depends upon having at least one ticket for an event. You will need to create these tickets so that folks can register for the event.

* For dinners, there is usually one ticket per dinner item. IE a ticket for Fish, a ticket for Steak, and one for Salad is an example of three tickets for three meal types.

​* If your tickets are pay at the bar, the price will be $0. However, you need to show the price somewhere, and that is usually in the description.

* If you are including dinner in a party price, then you will have a ticket for "Dinner and Party" with the price (ie $45 or whatever). Parties allow non dinner folks, so have a ticket "Party Only" for a price that subtracts the meal. In the $45 example, say the meal cost is $25, then the party only price is $20.

* If you are an RSVP event (meaning all you need is a reservation and registration), just have one ticket with the event name and $0 for the price.

- All dates, times, any cutoff dates, limited sales, etc. Some events are limited to a number of people. Others might have a specific cutoff time where no more tickets are sold.

- NEVER HAVE "Details to Follow"! Complete the event beforehand! Thank you!!!

Scuttlebutt Rules and Schedules

 

Mailing Schedule: The Scuttlebutt is mailed on Mondays and Wednesdays.  

Special Announcements:  Special Announcements may be sent for club activities and functions on Fridays.  Ad hoc Special Announcements may be sent from time to time at the Scuttlebutt’s discretion following all other guidelines.  No more than ONE email message will be sent on any day.

Purpose: The primary purpose of the Scuttlebutt is to keep subscribers informed of current and upcoming club activities and club-sanctioned events ONLY.  The Scuttlebutt will not be used for personal promotional purposes or gain.

Events Promotion:  Promoting events may include those things that SlBYC is a part of or partner to, such as Panthers @ Sea and the Charity Regatta; or sponsored events such as West Marine fashion shows and charitable and fund raising events; or governmental or association meetings of special interest or focus on Long Beach public marinas and/or yacht clubs.

Club Promotion: Things directly related to the Club and without outside partnership that may include things such as membership drives, cruises, Club and Sea Belles parties, Sea Belles luncheons, food and bar promotions, and elections.

Flyers: Flyers must be submitted digitally; no printed flyers will be accepted.  Flyers may be in PDF, Word, PowerPoint, or Excel format.  Flyers must include more information than will reasonably fit within the confines of the Scuttlebutt format.  Adding a photo to one or two sentences does not constitute “more information”.  

Deadlines: Deadlines for submitting items to the Scuttlebutt is 10AM Mondays and Wednesdays.
